Privacy notice

Sheffield Hallam Islamic Society, referred to as “Hallam ISOC”, “we”, “us”, or “our”, operates this public member dashboard. Hallam ISOC is the controller for personal information it receives directly through society-run forms, messages, and email. Contact us at sheffhallamisoc@gmail.com.

Sheffield Hallam Students' Union is a separate controller for membership purchases and information submitted through its services.

This dashboard has no user accounts, takes no payments, runs no first-party analytics, and stores no visitor personal information in its content database. It does not currently set cookies.

If you contact us or use a society-run external form, we may receive contact details, your message or form answers, and any other information you choose to provide. Cloudflare and Convex may process technical request data, such as IP addresses and browser information, to deliver and secure the site.

We use personal information to:

• respond to questions, feedback, and requests;
• organise events and society activities;
• manage communications that you ask to receive; and
• operate, protect, and troubleshoot the dashboard.

Our legal bases are legitimate interests in running and protecting the society and its services, consent where you choose to receive optional communications, and compliance with legal obligations where required. You may withdraw consent at any time by contacting us.

Links may take you to Sheffield Hallam Students' Union, Google Forms, Instagram, other social platforms, or your email provider. These services collect and use information under their own privacy notices. Sheffield Masjids supplies public prayer-time data and does not receive form submissions from this dashboard.

We do not sell personal information. We share it only with service providers needed to operate society activities, when you direct us to, or where the law requires it. Cloudflare hosts the site and Convex provides content infrastructure.

We keep society-managed form responses and messages only while needed for the purpose stated when they were collected and for any applicable Students' Union or legal record-keeping period.

To decide how long that is, we consider the amount, nature, and sensitivity of the information, the risk of harm from unauthorised use or disclosure, why we hold it and whether we can achieve that another way, and any legal, accounting, or reporting requirements. When we no longer need information, the committee deletes or anonymises it.

We use reasonable technical and organisational safeguards, but no internet service can guarantee absolute security. Please do not send sensitive personal information unless a form specifically requests it and explains why it is needed.

Some providers, including Google, Meta, Cloudflare, and Convex, may process information outside the United Kingdom. Their privacy notices explain where they process information and the safeguards they use for international transfers.

Depending on the circumstances, UK data protection law may give you rights to access, correct, delete, restrict, or object to our use of your personal information, receive a portable copy, and withdraw consent. These rights are not absolute.

Email sheffhallamisoc@gmail.com to make a request. We may ask for enough information to confirm your identity. You may also complain to the Information Commissioner's Office.

We may update this notice when our services or privacy practices change. The latest version and effective date will remain on this page.
